Every quarter, go through your list and make sure:

1. All of your contacts are still with the funders you are tracking.
2. All emails are accurate.
3. All notes are up to date (ie when was the last time you reached out, what did you share, what response did you get?)

Cleaning out your prospect list quarterly will force you to reach out to all prospects regularly and make sure they are still the best points of contact for you. It will also encourage you to keep up with your intel tracking, identifying all points of intersection, and tracking whether funders are accepting proposals or not.
